Event Cancellation Policies

Please see below for our standard Cancellation & Refund Policy as well as our COVID-19 Safety Plan. Both of these policies apply to our April 2023 retreat in Veyo, Utah.


COVID-19 Safety Plan

We’re serious about safety and have carefully followed CDC guidelines for events planning to minimize the risk of COVID-19. Here’s what we’ve put in place for our April 2023 ClimbWell retreat:

  1. We’ve downsized our 2023 retreat to 18 participants and 3 facilitators. Not only does this support the intimate, hands-on approach to coaching and community-building that we love, it also means we’ll have a total group size of fewer than 26 people (including caterers, photographers, volunteer staff and speakers).

  2. We’re asking everyone to stay home if they feel sick. To make this easy, we’ve developed a flexible ticket transfer policy (see below) and a back-up facilitation plan if one of our facilitators falls ill. 

  3. We’ll be taking precautions at the event itself, including frequent handwashing and required daily temperature screenings (our policy on this may change based on current CDC guidance). Masks will not be required as the venue is outdoors.

  4. The event will be in one of the safest locations possible given the pandemic: outdoors. And since we’ll be camping in our own corner of Crawdad Canyon - Veyo UT, we will have space from other climbers.


ClimbWell Cancellation & Rescheduling Policy

These are uncertain times making it a true challenge to plan anything in advance. Here’s what you need to know in the unlikely event that you can’t attend ClimbWell after purchasing a ticket or if we have to reschedule the event.

Cancellation Policy

If you cancel your trip, ClimbWell will offer a partial or no refund depending on the date of your request. These are your options:

  • If you cancel more than 60 days before your event date, you will be refunded the amount you paid minus a $150 deposit or you may apply your investment to another ClimbWell event.

  • If you cancel 59 to 30 days before your event date, 50% of your payment will be refunded or may be applied to another ClimbWell event. 

  • If you cancel less than 30 days before your event, you will forfeit your entire payment. (Option to transfer your ticket to a friend or offer your spot for scholarship).

Exceptions to our policy cannot be made for any reason other than illness or emergencies due to COVID-19 (see below).

FAQs & COVID Questions

  • If you have any symptoms of COVID-19 in the 3 days before a retreat, you can’t attend. But we know it would be a bummer if you have to cancel your trip after buying tickets. If you need to cancel because you have coronavirus symptoms or because you’ve been in close contact with someone who has tested positive for COVID-19, we will offer you three options:

    Apply your full ticket price to any of our events in the next 24 months;

    Apply your ticket price as coaching credit with one of the three ClimbWell co-founders: Blake, Gaby, or Remy (they each offer 1-1 coaching, group programs, and courses you can pick from);

    Transfer your ticket to someone else who wants to take your place.

    Offer your ticket to the scholarship fund (i.e. we reach out to someone who applied for scholarship but did not receive the support, and offer your spot).

    If you cancel for reasons not related to COVID-19 (as listed above), our regular cancellation policy applies.

  • We’ve designed our retreats to operate as scheduled in spite of COVID-19. But in the very improbable circumstance that we must reschedule your event, we will offer you three options:

    1. Apply your ticket price to our next event

    2. Apply your ticket price as ‘coaching credit’ with one of the three ClimbWell facilitators: Blake, Gaby, or Remy (they each offer 1-1 coaching and group programs you can pick from)

    3. A refund of your entire ticket price minus a $150 deposit.

Please purchase travel insurance!

Yes! If you’re traveling to the ClimbWell retreat, we highly recommend you purchase travel insurance. If you’re not sure where to start, people seem to like Allianz, AXA, HTH, and Safe Travels Voyager. Make sure your carrier covers costs associated with cancellation or trip interruption due to COVID-19 and remember that you’re likely looking for domestic travel insurance (if you live in the U.S.).
